IHSADA Executive Board Meeting

Tuesday, January 9, 2001 -- 7:00 p.m.

Officers Present: Rick Anderson, Roger Campbell, Mike Collins, Brian Coppess, Bob Garms, Jim Gebhart, Kelley Hood, George Long, Gary Ross, Dave Stover.

President Rick Anderson called the meeting to order at 1:30 p.m. and welcomed those in attendance. Rick passed around a letter of appreciation from Duane Kramer and a thank you card from the Al Limberg Family. Also, a letter from Bernie Saggau was passed around expressing thanks for hospitality at National Convention in San Diego.

1. State Convention - Hotel Fort Des Moines (meeting with Liz Gander and Matt Boehnke)

a. Meeting Rooms: Liz reviewed meeting rooms. Officers to meet with Liz and staff on Friday at 2 pm. Also will need have space to store convention favor on Friday. There will be 60 exhibitors in the exhibit hall and will begin setting up on Saturday. Exhibit Hall to open at 9 am on Saturday for setup. Registration tables will be ordered by the hotel from Freeman advertising and will be in place by Friday afternoon until Tuesday at 1 pm. Dinner on Saturday in the Landmark Grille at 5:30 pm. Hors de oevures and meal selections will remain the same as last year.

b. Sleeping Rooms: 8 complimentary suites for the officers. IHSADA pays for room for Dosser/Hansen. Also pay for rooms for speakers on Sunday night. Copy of bill will go to Rick and Mike.

c. Parking: Matt will check on free parking for officers.

d. Menus: discussed various meals with Liz.

e. President's Night: discussed with Liz.

f. Exhibit Hall: discussed with Liz.

g. A/V Equipment: will check with Steve Duncan to see if he will again bring equipment.

h. Registration: Mike and Kelley

2. Minutes of November 7, 2000, Executive Board Meeting (Kelley): (MM-S: Mike, Jim G.)

to accept minutes. Motion passes.

3. Financial Report (Mike): Current report shows total assets of $24,907.50. (MM-S: Bob, Roger) to approve report dated 1/4/01. Motion passes. Mike still needs a number of businesses to pay for newsletter advertising. Only two of six advertisers have paid at this point. Still have two central district meeting sponsors (ISS & Daktronics) to pay. We will receive check from IHSAA for yearly contribution of $2500. Currently have 402 memberships at this time.

4. Convention Assignments (Rick): attached to tomorrow's agenda. Reviewed quickly.

5. Head Table Assignments (Rick): to be made by Rick.

6. President's Night (Rick): questions asked and answered

7. Favors (Rick): discussed costs and sponsors.

8. Convention Agenda (Roger and Bob): updated and discussed.

11. Exhibitors (Dan): exhibit hall will formally be Sunday through Monday.

12. LTC and CAA Exam (Jim): discussed letter that will be sent to all AD's by IHSAA that explains classes offered at State Convention and procedure to obtain CAA information. Limited enrollment to 35/class offered at convention. We will offer LTC 501 and LTC 503.

13. Booster Club Agenda (George): ready to go.

14. Other Convention Items: Kelley passed out worksheet of program assignments.

16. Follow-Up To Citizenship Conference (Brian): Michigan does one every other year. Executive Board will need to discuss future plans.

17. Newsletter Items (Gary): Jan/Feb. will have convention stuff, so he needs updated information.

18. Review Wednesday's Agenda: meet Wednesday at IHSAA Office in Boone, refreshments at 9 am, with the meeting beginning at 9:30 am.
